Privacy Policy

Last updated: 16 September 2026

This policy explains how Rapville handles personal information through go.rapville.uk, our artist application and related enquiries. Rapville is responsible for deciding how information collected for these purposes is used. For privacy questions or requests, contact contact@rapville.uk.

1. Information we collect

  • Information you provide: your name, artist or band name, email address, phone number, social profiles, music links, application answers, and information you share about your goals or project.
  • Enquiry and booking information: correspondence, application status, appointment details and the information needed to respond to your request or prepare for a call.
  • Website and campaign information: pages visited, referral sources, campaign parameters and advertising click identifiers, browser and device information, visitor and session identifiers, clicks, scroll depth, video viewing milestones and application activity.
  • Technical information: connection and request information, such as IP addresses and browser headers, processed by our hosting and service providers. Some website submissions may include a hashed IP value for technical purposes.

Information comes directly from you, from your interaction with the website, and from providers processing your application or booking. Please do not include passwords, payment card details or sensitive personal information in free-text application fields.

2. Why we use information

We use application and contact details to assess whether our services fit your project, respond to enquiries, arrange and confirm calls, and discuss services you have requested. If you become a client, we also use relevant information to manage and deliver the agreed work.

We use website and campaign information to understand how people find and use the website, measure video and application activity, evaluate advertising, improve the website and investigate technical problems or misuse.

3. Legal bases

Where UK or European data protection law applies, responding to a requested enquiry or application and preparing or delivering an agreed service may be necessary to take steps at your request before a contract or to perform a contract. We also rely on legitimate interests in managing enquiries, running and securing our website, and improving our services, where those interests are not overridden by your rights.

Consent is the basis for optional marketing or tracking where required by applicable law. Legal obligations may require us to retain or disclose certain records. You can withdraw consent at any time; this does not affect processing that was lawful before withdrawal. Submitting an application or reading this policy does not, on its own, give consent to unrelated marketing or optional cookies.

4. Providers and sharing

Information may be handled by authorised Rapville team members and providers supporting the following activities:

  • Applications and appointments: Typeform and, where used for a booking, Calendly.
  • Website hosting: Vercel and the infrastructure used to deliver the website.
  • Enquiry management and analytics: RN Marketing’s Command Center and Callix, used to organise website activity, attribution and application information.
  • Advertising measurement: Meta, including its Pixel and conversion tools, which may receive website events, advertising identifiers and application conversion information.
  • Embedded media: YouTube and other media providers, which may receive technical information when embedded content loads or is played.

We may also share relevant information with providers helping us communicate with you or deliver a service you have requested, and where necessary to meet a legal obligation or protect legal rights. Providers may act on our instructions or, for some activities, under their own privacy policies. Links to external social posts take you to services with their own data practices.

5. Cookies, local storage and tracking

The website uses cookies and browser storage for visitor recognition, session information, campaign attribution and measurement. For example, rn_vid is a visitor identifier configured to last up to one year. rn_sid and rapville_attribution use session storage for a session identifier and referral information. Third-party providers, including Meta and embedded form or video services, may use additional identifiers or cookies.

Browser settings let you remove or block cookies and clear site storage. Blocking storage or third-party content may affect forms, videos and measurement. Where consent is required for optional cookies or similar technologies, it must be obtained separately; this privacy policy is not a cookie-consent mechanism.

6. Calls, texts and email

If you request a conversation or submit your contact details through an application, we may contact you about that request by phone, text or email. You can tell the team you no longer want follow-up. Where a message provides an unsubscribe link or opt-out instruction, you can use that option. Promotional communications are subject to the permissions and legal requirements that apply to them.

7. International processing

Our team and service providers may process information in countries outside your own, including the United States. Those countries may have different data protection laws. Where UK or European law requires safeguards for a transfer, appropriate transfer arrangements are required, such as an applicable adequacy decision or approved contractual safeguards. Contact us for information about the arrangements relevant to your data.

8. Retention and security

We retain information for as long as needed for the purpose for which it was collected, taking account of the enquiry or client relationship, legal recordkeeping, security and the resolution of disputes. Different records and service providers may have different retention periods; the duration of a browser cookie does not determine how long a server record is kept. Contact us to ask about retention or request deletion of your information.

We use technical and organisational measures appropriate to the information we handle. No internet transmission or storage system can be guaranteed completely secure.

9. Your privacy rights

Depending on your location and the law that applies, you may have rights to access, correct or delete your personal information, restrict or object to processing, receive a portable copy of certain information, and withdraw consent. These rights can be subject to legal conditions and exceptions. You can object to direct marketing at any time.

Email contact@rapville.uk with your request. We may need proportionate information to verify your identity. You can also complain to your local data protection authority. In the UK, this is the Information Commissioner’s Office (ICO).

10. Updates

We may update this policy when the website or our handling of information changes. The date at the top identifies the current version. For questions about this policy or how it applies to your enquiry, contact contact@rapville.uk.
